Policies
These Terms & Conditions apply to all photography services booked with JJONESPHOTOZ (Jeremy Jones, “Photographer”), based in Huntingdon, Tennessee and serving West Tennessee and West Kentucky. They apply alongside the Photography Services Agreement and Photo Release signed for each session.
Booking & Deposit
- A session date and time is only reserved once a $40.00 deposit is received.
- The deposit is non-refundable but is applied toward the total session fee.
- Bookings are accepted on a first-paid, first-served basis.
Payment
- Accepted payment methods: cash, check, Venmo, Cash App, and Zelle.
- The remaining balance (total session fee minus the deposit) is due at or before the delivery of edited images.
- For team/league packages, an invoice will be provided showing the per-athlete rate and total based on the number of athletes photographed.
- A returned check or failed payment may result in a delay of image delivery until payment is resolved.
Weather & Rescheduling Policy
- Outdoor sessions and games are weather-dependent. Photographer will make the call on whether conditions (rain, lightning, extreme heat/cold, poor lighting) make the session unsafe or unable to produce quality images.
- If a session is rescheduled due to weather, Client receives one (1) free reschedule with their deposit carrying forward to the new date.
- If a second weather-related reschedule is needed for the same session, Photographer and Client will agree on a new date in good faith; repeated last-minute cancellations by Client for reasons other than weather may require an additional deposit.
Cancellations & No-Shows
- Client-initiated cancellations forfeit the $40.00 deposit, except where caused by weather (see above).
- Rescheduling with at least 48 hours notice is offered at no charge, with the deposit carrying forward.
- A no-show, or a cancellation with less than 48 hours notice, forfeits the deposit, and a new deposit will be required to book a future session.
Turnaround & Image Delivery
- Edited digital images are typically delivered within 1-2 weeks of the session date via digital download or an online gallery link.
- Team/league sessions with a large number of athletes may take toward the longer end of that window.
- Prints and merchandise ordered separately (see Price Sheet) are fulfilled after ordering and may require additional time depending on the product.
Travel Fees (Away Games)
- Local games (within the Huntingdon / Carroll County area) are covered under the flat $75 rate.
- Away games include a distance-based travel fee: no additional fee under 20 miles round trip; +$15 for 21-40 miles round trip; +$25 for 41-60 miles round trip; and +$0.50/mile beyond 60 miles round trip (including trips into Kentucky), or a custom quote on request.
Image Usage & Copyright
- Photographer retains full copyright of all images produced.
- Clients receive a personal-use license for their delivered images, plus a license for the athlete’s team, school, or league to use images for their own non-commercial purposes (rosters, programs, websites, social media, yearbooks, recruiting).
- Photographer may use session images for their own portfolio, marketing, website, and social media, unless the Client opts out in writing before the session.
- Client may also request in writing at any time after the session that Photographer stop using their images in Photographer’s own marketing; such requests are honored within 30 days. This does not apply to images already delivered to or published by a team, school, or league.
- Images are not sold to unrelated third parties for commercial advertising without separate written consent.
- A signed Photo Release & Parent/Guardian Consent form is required before any session involving a minor.
Prints & Products
- Prints and merchandise are priced per the current JJONESPHOTOZ Price Sheet and are ordered separately from the session fee unless included in a package.
- Please review print/product sizing and proofs carefully before ordering — reprints due to Client ordering the wrong size are billed at full price.
Liability
- Photographer is not responsible for circumstances beyond reasonable control, including equipment failure, memory card loss or corruption, weather, or venue restrictions.
- Photographer’s total liability is limited to a refund of fees actually paid; Photographer is not liable for indirect or consequential damages.
- Client (or a minor athlete’s parent/guardian) is responsible for the athlete’s safety and supervision during the session and for ensuring Photographer has permission to access school, league, or other third-party property.
Governing Law
- These Terms & Conditions are governed by the laws of the State of Tennessee, regardless of whether a session takes place in Tennessee or Kentucky.
This document is a general policy reference and does not replace the signed Photography Services Agreement and Photo Release for each session.
